At Veritas Family Home Care, we respect the privacy of our Washington State clients, families, and team members. This policy explains what information we collect through veritasfamily.org and our messaging programs, how we use it, and the choices you have. It is separate from the protected health information we handle as a licensed home care agency, which is governed by HIPAA and described in our Notice of Privacy Practices.

We do not sell your personal information.

No mobile information will be shared with third parties / affiliates for marketing / promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We share information only with service providers who help us operate, such as our telephony provider, our hosting provider, and our scheduling and records systems and only to the extent needed to perform that work. Where those providers handle protected health information, they do so under a Business Associate Agreement. We also disclose information where required by law, including mandatory reporting under the Vulnerable Adult Protection Act (RCW 74.34).

We use your information strictly for care coordination, scheduling, billing, and hiring. Sharing is limited to a need-to-know basis: our office staff, caregivers, payment processors, and technology providers. We may disclose data to regulators or emergency contacts if required. We protect your data using secure digital systems and strict internal protocols. Information is retained only as long as necessary for service delivery and legal compliance. Please note: we provide non-medical home care; this is not a HIPAA Notice of Privacy Practices.

We use encrypted systems, access controls, and confidentiality agreements signed by all staff. No system is perfectly secure, but we take reasonable and appropriate measures to protect the information in our care.

Information you give us

 

When you complete the consultation request form, we collect your name, email address, phone number, the service you are interested in, and the content of your message. When you apply to work with us, we collect the information on the caregiver application form. When you use the Client/Family portal, we collect the account details you provide.

Information collected automatically

 

Like most websites, we collect standard technical information such as IP address, browser type, pages visited, and referring site, through cookies and similar technologies. This is used to keep the site working and to understand which pages are useful.

How we use your information

  • To respond to your inquiry and schedule a consultation

  • To provide, coordinate, and bill for care services

  • To send appointment, schedule, and account notifications you have asked for

  • To evaluate employment applications

  • To meet our legal, licensing, and regulatory obligations under Washington State law

Text messaging

If you opt in, we send text messages about appointments and schedules, visit updates, account and login verification codes, replies to messages you send us, and; where you have separately agreed; occasional recruiting messages.

How consent is obtained

By checking the SMS consent box on our consultation request form, by checking the SMS consent box during signup in our CareFlow mobile apps, by checking the box on our caregiver application form, or by agreeing in a signed service or employment agreement. Consent is never pre-checked, is never bundled with acceptance of our general terms, and is never required to receive care or to apply for a job.

Our messages are deliberately generic. We do not include names, addresses, diagnoses, or other care details in a text message; identifying information stays behind authentication in our apps.

We keep inquiry information for as long as needed to respond and for a reasonable period afterward. Client and employment records are kept for the periods required by Washington State licensing and by federal law.
